How are duplicates decided?
- Email addresses match when they are identical apart from capital letters and surrounding spaces. Dots and +tags are kept, because they can be different mailboxes.
- Phone numbers match only when the digits are identical, including the country code. A number with a country code never matches one without, and numbers shorter than 7 digits never match.
- Full names match when they are identical after tidying spaces and capital letters. Similar-looking names are only suggested for you to review.
- Each group shows why its contacts matched. You choose what to keep, or keep them separate, then download a new file.
Export your contacts from iCloud.com (Contacts, select all, Export vCard) before you start. Your original file is never changed.

Clean up duplicate contacts safely
Duplicates build up when contacts are synced from several accounts, restored from backups or imported twice. Automatic merge tools can be too eager and join two different people who share a company switchboard number. This cleaner is built the other way round: it only groups contacts when the evidence is exact, explains every match and lets you decide.
Export your contacts first
- Sign in to iCloud.com on a computer and open Contacts.
- Select all contacts and choose Export vCard from the share or settings menu.
- Or, on a Mac, select all contacts in the Contacts app and use File, Export, Export vCard.
Keep that export as your backup. The cleaner never changes it and never connects to your account.
How matches are found
- Email: identical after removing surrounding spaces and ignoring capital letters. Dots and plus tags are not removed, because at many providers they are different mailboxes.
- Phone: digits must be identical. A number written with a country code only matches another with the same country code. A number without one only matches another without one. Numbers shorter than 7 digits, such as short codes, never match.
- Full name: identical after Unicode normalisation, ignoring case and extra spaces. Treating accented letters as plain is optional.
Contacts are then joined into groups, so if A shares an email with B and B shares a phone with C, all three form one group. Every pair shows the exact reason, such as Same email or Same phone number.
Similar names
Turn on suggestions to see names that are close but not identical, with a similarity score. They are listed separately for you to check and are never merged.
Choosing what to keep
- For single values - full name, name parts, organization, job title, birthday and photo - pick which contact's value to keep when they differ.
- Phones, emails, addresses, websites and notes from all contacts are combined without repeats. Untick any you do not want.
- Other fields, including custom fields from other apps, are kept unless you untick them. Apple label groups are renumbered so labels stay attached to the right values.
- Choose Keep separate for any group that is not really a duplicate.
After downloading
The cleaned VCF contains merged contacts plus every other contact copied exactly as it was written. The merge report lists each group, the decision, the reasons and any values left out. To apply the result, check it, remove or archive the old contacts in iCloud yourself, then import the cleaned file.
Limitations
- Up to 25 MB and 20,000 contacts per run.
- Contacts that share only a company phone number with different country formats, or a nickname instead of a full name, are not grouped; review them yourself.

Frequently asked questions
Why were two contacts with the same number not grouped?
Phones only match when the digits are identical, including the country code. If one was saved as +1 555 555 0101 and the other as 555 555 0101, they are not merged, because the tool cannot be sure they are the same number.
Why are john.smith@ and johnsmith@ not treated as the same email?
Removing dots or plus tags is only correct for some email providers. At others they are different mailboxes, so the cleaner never strips them.
Will I lose any information when contacts are merged?
No value is dropped silently. Phones, emails, addresses, websites, notes and custom fields are all kept unless you untick them, and the merge report records anything you left out.
What does Keep separate do?
It leaves every contact in that group exactly as it was in the original file. Use it for people who share details but are different people.
Does this remove duplicates from my iCloud account?
No. It creates a new cleaned .vcf file. You review it and replace your contacts yourself, for example by importing the file on iCloud.com after archiving the old contacts.
Is my address book uploaded?
No. The file is read and processed locally in your browser and is not uploaded to A2Z Tools.
