How it works
Each attendee's hourly cost is their annual salary divided by paid hours a year, or an hourly rate entered directly, multiplied by an overhead factor for benefits, payroll taxes and office cost. Six people averaging 75,000 a year over 2,080 hours cost 36.06 an hour each; with a 1.3 overhead multiplier that is 46.88, so the room costs 281.25 an hour or 4.69 a minute. A recurring meeting is multiplied by its yearly occurrences: 260 workdays for a daily stand-up, 52 for weekly, 26 for every two weeks and 12 for monthly - a weekly hour-long meeting of those six people costs 14,625 a year. The live meter multiplies the same cost per second by the elapsed time, measured from the system clock so it cannot drift; it pauses, resumes and resets, and screen readers hear an update at most every 5 seconds.
Calculation method
- Hourly cost per person = (salary / paid hours a year, or hourly rate) x overhead multiplier
- Cost per hour = attendees x hourly cost per person; per minute = per hour / 60
- Cost per meeting = cost per hour x minutes / 60
- Cost per year = per meeting x occurrences (daily 260, weekly 52, biweekly 26, monthly 12)
- Live meter = cost per hour / 3,600 x elapsed seconds

Weekly team meeting
Inputs: 6 attendees; 60 minutes; average salary 75,000; 2,080 paid hours; overhead 1.3; weekly

Short hourly-rate call
Inputs: 4 attendees; 30 minutes; 50 an hour; overhead 1; monthly
Result: Cost of this meeting 100.00; 200.00 per hour; 1,200 a year
4 x 50 x 0.5 hours.
Limitations
- Uses one average pay for everyone; a meeting with two executives and four juniors needs a weighted average.
- Counts people-time only - room hire, travel, software and opportunity cost are not included.

Questions
What overhead multiplier should I use?
1.0 counts salary only. Many organisations use 1.2 to 1.4 to cover employer payroll taxes, benefits and office costs; use your own fully loaded figure if finance has one.
How much does a daily 15-minute stand-up cost?
For 8 people averaging 46.88 an hour fully loaded, 15 minutes is 93.75 a day; over 260 workdays that is 24,375 a year.
Why 260 meetings for daily?
It is 5 workdays x 52 weeks. Holidays and absences reduce the real number by about 10%, so treat the yearly figure as an upper estimate.
Does the live meter keep counting in a background tab?
The display pauses while the tab is hidden, but elapsed time is measured from the clock, so when you return the cost jumps to the correct total for the whole meeting.
Is lost focus time included?
No. The calculator counts only the time spent in the meeting. Context switching before and after, preparation and follow-up work are real costs it leaves out.
How can teams cut meeting cost?
Trim the invite list, default to 25 or 50 minutes instead of 30 or 60, swap status updates for asynchronous written notes, and prune recurring series each quarter. Dropping 2 of 8 attendees from a weekly hour cuts its cost by 25%.
