How it works

Each cost is multiplied by what it really scales with: accommodation by nights (for the whole group), food and activities by people and days, local transport by days, and flights and one-off costs such as visas or insurance by people. A contingency buffer is then added on top, as a percentage of everything else. The breakdown shows which category dominates - on a short trip it is usually flights, on a long one the nightly stay. Calculation method

  • Stay = cost per night x nights; food = per person per day x people x days
  • Local transport = per day x days; activities = per person per day x people x days
  • Flights and other = per person x people
  • Total = subtotal x (1 + buffer %); per person = total / people; per person per day = total / people / days; rounded to whole currency units

Worked examples

A week for two

Inputs: 7 days, 6 nights, 2 people; stay 120 a night, food 40 and activities 30 per person per day, local transport 15 a day, flights 450 each, 10% buffer

Result: Total 2,976; 1,488 per person; 213 per person per day; flights 33% and stay 27% of the spend

720 + 560 + 105 + 420 + 900 = 2,705; + 10% = 2,975.5.

Limitations

  • One currency and flat daily rates; seasonal prices, exchange-rate changes and card fees are not modelled.
  • Does not look up real prices for any destination - every figure is the visitor's estimate.

Questions

How big should the buffer be?

It is a planning choice, not a rule: the widget starts at 10%. Long trips, remote places and currencies that move a lot justify more; a pre-paid package needs less.

Why are nights separate from days?

A 7-day trip usually has 6 nights of accommodation. Enter both so neither cost is over-counted.

Is the stay cost per person?

No - enter the total per night for everyone (all rooms). Food and activities are per person.

Does it convert currencies?

No, all figures are in the one currency chosen for the widget.

What belongs in the 'other' line?

Per-person one-off costs that are easy to forget: visa fees, travel insurance, vaccinations, checked-luggage fees, airport transfers and SIM cards. Gratuities and shopping are better added to the daily activities figure.
