How it works

The widget works backwards from the income you want to keep, using the same engine as the A2Z Freelance Hourly Rate Calculator. It grosses the take-home figure up for tax, adds the year's business expenses to get the revenue needed, and divides that by the hours you can actually invoice: billable hours a week times the weeks you work. It also shows what the naive salary-style rate (income over 52 weeks of 40 hours) would have been, which is the trap that leaves many freelancers underpaid.

Calculation method

  • Profit before tax = take-home income / (1 - tax rate / 100)
  • Revenue needed = profit before tax + business expenses
  • Billable hours = (52 - weeks off) x billable hours a week
  • Hourly rate = revenue needed / billable hours; day rate = hourly rate x hours in a billed day

Worked examples

Take-home 60,000

Inputs: Income wanted 60,000; expenses 8,000; tax 25%; 25 billable hours a week; 6 weeks off; 8-hour day

Result: Minimum hourly rate 76.52; day rate 612.17; revenue needed 88,000.00; 1,150 billable hours

A salary-style 40-hour, 52-week split would suggest only 28.85 an hour.

Limitations

  • A single flat effective tax rate; progressive brackets, allowances and social-contribution thresholds are not modelled.
  • No pension, sick-pay or equipment-replacement reserve unless you add it to expenses.

Questions

What counts as a billable hour?

Only time you can invoice a client for. Admin, sales, learning and unpaid revisions are real work but not billable, which is why 25 billable hours can fill a 40-hour week.

Which tax rate should I enter?

Your effective rate on profit - income tax plus social or self-employment contributions as a share of profit - not your top marginal rate. An accountant can estimate it for your situation.

Is this the rate I should charge?

It is the minimum that meets your income target at those hours. Market rates, your experience and the value you deliver may justify more.

Does it store my income figures?

No. Everything is calculated in the browser and nothing is saved or sent.

How do I turn the hourly rate into a project price?

Estimate the billable hours, multiply by the rate and add a contingency for revisions and scope creep. At 76.52 an hour, a 30-hour website build is about 2,296 before contingency - a fixed price is only safe if the estimate is.

Why subtract weeks off?

Holidays, public holidays, sick days and training weeks earn nothing, so their cost must be spread over the weeks you do bill. Six weeks off leaves 46 working weeks; at 25 billable hours that is 1,150 hours a year, not 2,080.
